Invoice extraction: recognised data is not approval
Extracting a PDF invoice can save retyping. It does not decide whether delivery was correct, an amount has been paid or the same invoice arrived twice. Useful processing therefore combines recognised fields with a focused review before handover.
Check key fields against the original
Compare supplier, invoice number, date, amount and payment details with the received file. Poor scans can lead to misread digits or separators. Changed bank details deserve special attention: verify unusual changes using an already known contact route, rather than merely replying to that email. A plausible-looking extraction does not replace comparison with the actual document.
Find duplicates before handover
An invoice may arrive as the original message, a forwarded copy and a resend. Do not compare filenames alone. Supplier, invoice number and amount help locate the existing transaction. Keep the link to the original instead of creating an independent document for every email. Different invoice versions or corrections still need deliberate clarification rather than being silently discarded as duplicates.
Add a responsible reviewer
Allocate the invoice to a project or another appropriate cost centre. A stock purchase does not automatically belong entirely to the first site mentioned. Ask someone familiar with the delivery or service to check it. Werkbank Post can prepare PDF invoice data for handover to Werkbank Büro. Payment decisions and professional approval remain separate steps within the business.
Your business checklist
- Compare extracted key fields with the original file.
- Verify unusual bank changes through a known contact.
- Search existing cases before creating another document.
- Approve delivery, allocation and payment separately.
