Van stock and packing lists: settle materials before leaving
The list says the material is available, but it is in another van. That shows why a single stock total is not enough. What matters on site is whether the required quantity is in the right vehicle at the right time.
Stock needs a location
Treat the main warehouse and vehicles as separate locations. A transfer changes location; consumption reduces stock. If loading is recorded as consumption and site use is deducted again, the figure shrinks twice. Agree which transaction represents which event. A few frequently used items are enough for an initial test of whether everyone follows the same method.
Prepare backwards from tomorrow’s work
Start with tomorrow’s scope: which tasks, quantities and tools? Compare requirements with actual van stock and reserve missing material. The packing list should show item, unit, quantity and destination job. “Take screws” helps less than the correct item and number of packs. One person confirms packing rather than simply reading the list and assuming somebody else loaded it.
Close the loop with returns
Leftover material is not automatically consumed. At the end of the job, check what stays in the van and what returns to the warehouse. Resolve major differences between expected and actual quantities before placing more orders. Werkbank Büro’s inventory option supports stock and packing lists. Reliable working habits are still needed for the figures to reflect the real location.
Your business checklist
- Distinguish the main warehouse from each vehicle.
- Do not confuse transfers with consumption.
- Build the packing list from tomorrow’s actual requirements.
- Report leftovers and significant quantity differences.
