The trade office inbox: turn messages into next actions

Werkbank editorial teamUpdated:

A tidy inbox is not necessarily a finished inbox. A neatly filed customer enquiry remains open until somebody answers it. Useful organisation connects the message, its owner and its next action rather than simply creating as many folders as possible.

Start with a few categories

Separate customer enquiries, active jobs, invoices and general information. Delivery updates belong with their job and may need passing to the dispatcher. Newsletters do not need the same attention as tomorrow’s appointment change. Sort by business meaning, not just sender: the same supplier can send an invoice, an advert and notice of a delayed delivery.

Read is not a workflow status

Agree visible stages such as new, in progress, waiting for reply and done. Every open case needs a next owner. When an enquiry moves to a colleague, transfer responsibility and a target date too. Forwarding the email and hoping for an answer merely moves the problem into another mailbox without making the next step clear.

Check automatic sorting deliberately

An automatic category is a suggestion, not a final decision about urgency. Review misclassified messages and those left in a general category. Werkbank Post pre-sorts emails; professional follow-up remains with the team. Use a short end-of-day list of outstanding next actions. Success is not how empty the inbox looks, but whether important requests have an owner.

Your business checklist

  • Choose categories by business purpose rather than sender alone.
  • Treat read and completed as different states.
  • Give open cases an owner, next step and date.
  • Review automatic classification using actual mistakes.
