From quote to invoice: reuse data, still check what was delivered
Typing the address and line items three times adds little value. Carrying data from a quote into delivery documents and an invoice can avoid that work. It should not turn planned scope into billed work without checking what actually happened.
Give each document a clear purpose
The quote describes the planned scope. A delivery note may accompany supplied items or documented work. The invoice bills the relevant performance on the agreed basis. Required evidence depends on the job. Define which status permits the next step and who checks quantities, acceptance and outstanding questions before the job moves into invoicing.
Update changes in the right place
Ten radiators were planned, but nine were installed and another appointment was agreed. Copying everything unchanged would be misleading. Identify the delivered state and clarify the agreed billing approach. Extra work should remain traceable to its change record. Do not delete the original quote merely to make all documents look retrospectively identical.
Add a deliberate sending checkpoint
Put completed jobs into a clear review queue. The office checks customer, project, work completed, amounts and required attachments before approval. Werkbank Büro connects these document stages; professional review remains the business’s responsibility. The useful automation is carrying information forward while keeping ownership and unresolved decisions visible, rather than simply sending a document because a previous one exists.
Your business checklist
- Agree what each document status means.
- Check carried-over quantities against actual delivery.
- Link extra work to the corresponding agreement.
- Approve the invoice and attachments before sending.
